The expected ENTRY pay range for this position based on experience and equity within the Judicial Branch is $19.00 to $23.75.

This position is non-exempt under the FLSA.

About the Position

The Administrative Assistant performs complex administrative assignments for the Family Department’s Family Conference Center. The Administrative Assistant will support the program by tracking petitions, scheduling conferences, updating case information, assisting customers, and working with court staff.

POSITION QUALIFICATIONS

Education:
High School diploma or GED

Experience:
Three (3) years of responsible clerical and/or administrative experience

OR

Combined education and experience qualifications:
Post-secondary education may substitute for the required experience on a year-for-year basis.

Our Preferred Candidate has:
Two (2) or more years of experience working in the court system/legal environment

Knowledge of Family Court procedures, legal terminology, and the legal requirements of

processing court documents

Knowledge, skills, and abilities:
Knowledge of:
Office practices, procedures, and clerical processes

Principles of customer service

Microsoft Office applications (Outlook, Word, Excel, Teams)

Skill in:
The use of standard office equipment

Typing/data entry

Ability to:
Plan, organize and maintain a heavy workload

Work independently, exercise judgement in supplying information from confidential files and records

Establish and maintain effective working relationships

Evaluate information and recommend appropriate action

Learn new software applications

ESSENTIAL JOB TASKS

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)

Provides administrative support for the Family Department’s Family Conference Center Unit.

Serves as the point of contact for Family Conference Center and responds to inquiries from internal and external customers.

Updates case management system (iCIS), statistical reports, and procedures.

Tracks petitions, schedules, and coordinates conferences.

Research cases, makes arrangements for Interpreters, and processes various paperwork (Minute Entry referrals, Dismissal Notices, No Show Fee Orders, etc.).

Performs general clerical duties to include but not limited to, answering phones, photocopying, scanning, faxing, generating notices, mailing, and data entry.

Working conditions:
While performing the duties of this job, the employee is regularly required to speak clearly and hear; see details of objects that are less than a few feet away; sit for long periods of time; stand, walk, use hands to finger, handle, or feel; reach with hands and arms; and occasionally push, pull or lift up to 20 pounds.

Judicial Branch facilities are located throughout Maricopa County. This position may be reassigned to other locations. Assignments will be made based upon the needs of the department.
